What each resident status means

Every resident status in RWA Connect 360, for approvals, fees and people who have left — what each one means, and what to do about it.

Every resident has a status. It says whether they are a member of the society and, if they are, where they are with the maintenance fee. Society admins see each resident's status in Residents, and each badge there opens its explanation. New residents wait for an admin, as in approve or reject a resident.

The names and explanations below are the ones the app itself uses, written for society admins. Where a resident is shown something different, it is here too.

A resident's status comes from all of their bills together. One bill still unpaid after its due date decides it, even if every other bill is paid.

Somebody needs to act

Approval pendingThe resident sees “Waiting for approval”

What it means

They signed up, or came back after leaving. Or they chose a flat after an import. They are waiting for you, and cannot use the app yet.

What the admin does
Open their profile, check the flat and their details, then Approve or Reject. Either way they are told by WhatsApp or email.
What the resident is told
Your registration is with your society admin. You will be told as soon as they decide, and once you are approved you can use everything here.

Flat not chosenThe resident sees “Choose your flat”

What it means

They came in from your import file. The file has no flat for them. They choose their own flat when they first sign in.

What the admin does
Nothing yet. When they pick a flat, they move to Approval pending. Then they wait for you to approve them.
What the resident is told
Your society added you from its own records. Choose your flat on your home page, and your admin will then approve you.

Fee pending

What it means

A member with a bill that has started and is not paid yet.

A bill is due your society's grace period after it starts. A new member's first bill is due that long after the day you approved them. A bill raised after its period had already begun is due your grace period after the day it was raised.

What the admin does
Nothing unless you want to remind them. Record a payment when they pay.

Fee part paid

What it means

A member who has paid part of a bill. No bill is past its due date yet.

What the admin does
Collect the rest, then record it as a payment.

Fee overdue

What it means

A member with a bill still unpaid after its due date — not the end of the period it covers. If your society restricts app access for unpaid fees, most of the app closes to them the day after the due date. Even then, they can still pay, see their profile and contact support.

A bill is due your society's grace period after it starts. A new member's first bill is due that long after the day you approved them. A bill raised after its period had already begun is due your grace period after the day it was raised.

What the admin does
Chase this one first. Record the payment when it arrives.

All fine

Active

What it means

A member who owes nothing. This is the normal state. A new bill makes them Fee pending until they pay it.

What the admin does
Nothing.

Fee waived

What it means

A member who owes nothing. You waived their bill for this period, with a reason.

What the admin does
Nothing. If it was a mistake, press Undo waiver on that bill in Fees and give a reason. A bill written off while transferring a flat can never be reopened — not with Undo waiver, and not by a payment arriving.

No longer a member

Not approved

What it means

You did not approve their registration. They were sent the reason you gave.

What the admin does
Nothing. If the reason was something they could fix, they can register again.
What the resident is told
Your society admin did not approve your registration and sent you the reason. If it is something you can fix, you can register again.

Paused

What it means

Their membership is paused. They cannot use the app for this society.

What the admin does
Nothing unless they return.
What the resident is told
Your membership here is paused, so the society's pages are closed to you for now. Speak to your society admin if you think this is wrong.

Deactivated

What it means

You removed their access. Their records are kept, but they cannot sign in, and no new bills are made for them. Their bills are not listed in Fees while they are removed.

What the admin does
If it was a mistake, open their profile and press Reactivate resident. Their fee status is then worked out again from their bills.
What the resident is told
Your society admin has removed your access. Your records are kept. If you think this is a mistake, speak to your society admin.

Flat transferred

What it means

They sold or handed over their only flat in the society. They are no longer a member, and no new bills are raised for them. Anything they still owe stays on their record.

What the admin does
Nothing, unless they left dues you want to chase. If they take a flat here again, they register again or are named as the new holder in a flat transfer. Either way, they come back to you as Approval pending.
What the resident is told
Your flat has been transferred, so you are no longer a member here and no new bills will be raised. Anything you still owed stays on the society's books. To see or settle it, speak to your society admin. If you take a flat in this society again, register again and your admin will approve you.

Tenant leftThe resident sees “Tenancy ended”

What it means

A tenant who moved out of their only flat here. They are no longer a member and no new bills are raised for them. Anything they still owe stays on their record.

What the admin does
Nothing, unless they left dues. If they take a flat here again, they register again or are named as the new holder in a flat transfer. Either way, they come back to you as Approval pending.
What the resident is told
Your tenancy has ended, so you are no longer a member here and no new bills will be raised. Anything you still owed stays on the society's books. To see or settle it, speak to your society admin. If you rent or buy a flat in this society again, register again and your admin will approve you.
